Somewhere between the signed venue contract and the opening keynote, a lot of multi-day conferences quietly go sideways. Not because the planner did anything wrong, but because the RFP process rewarded a polished proposal over a proven system. If you’re comparing planners and event planning companies for a multi-day, multi-year conference contract, the gap between a smooth three days and a stressful planning window rarely shows up in the pitch deck. It shows up in five specific questions. 1. How many multi-day, multi-year conferences have they actually run? Ask for the number, not the adjective. “Extensive experience” means nothing on its own – a track record does. BIG DEAL Company has planned 20+ annual company conferences nationwide for a single client, every one on budget, with zero missed deadlines and zero major incidents – covering venue selection, budgeting, speaker coordination, and local-experience design, plus a multi-year trade show booth presence in Las Vegas. 2. Will they run the full arc on-site, or just the parts before the doors open? Plenty of planners are strong on the front end – venue, contracts, budget – and then hand you off once the event actually starts. A multi-day conference needs someone in the room for all of it. For a multi-day, cross-departmental conference, our team handled full-service management end-to-end: project management, vendor coordination, the master schedule, staffing, and live on-site production – while turning scattered department-level material into one cohesive agenda. 3. Can they operate as a standing partner, not a one-time hire? A multi-year RFP isn’t really about one event. It’s about the relationship that has to hold up across every event after this one. We serve as a standing event team for a Colorado media and events client – not a one-off vendor – contracted for 6+ events annually with a dedicated event lead. For another client, an 8+ year relationship now covers all-company conferences for a 400-employee organization. 4. Do they handle destination logistics – housing, vendor rates, and everything in between? Multi-day usually means travel. Hotel blocks, group rates, ground transportation, and a program that has to work from arrival to departure, not just for the main session. We’ve sourced and secured destination venues for multiple full-scale conferences, managed group housing and rate negotiation across every vendor and the venue itself, and built the full multi-day program – meals, local experiences, and programming included. 5. Do they bring marketing and communications firepower, or just logistics? A conference is also a public-facing brand moment. Registration, sponsor acquisition, press, content – none of that runs itself. For the region's largest manufacturing conference, we managed ticketing, registration, marketing, staffing, volunteer coordination, and trade show floor design for 50 booths and 400+ guests. For an ongoing awards-and-conference partnership, we have handled 9 large events a year – logistics, ticketing, contracts, and budgeting, start to finish. A conference planner books the room. A conference partner protects the days you can’t get back if something breaks. If you’re evaluating proposals for a multi-day or multi-year conference contract, we’ve run this exact playbook across Colorado, Wyoming, and destination locations nationwide. Reach out to see our past conference work and find out if we’re the right fit before you finalize your proposal. Frequently Asked Questions What's the difference between an event planner and a conference planner? An event planner typically manages a single occasion from start to finish. A conference planner manages a recurring, multi-day program — parallel sessions, multiple speakers, sponsors, and often a multi-year contract behind it, not just one date on the calendar. How far in advance should we hire a planner for a multi-day conference? Most planning teams bring in a planner 9 to 12 months before their first multi-day conference. For a standing, multi-year contract, the earlier the better — an experienced planner adds value at the RFP and site-selection stage, not just after the contract is signed. Does BIG DEAL Company handle standing, multi-year conference contracts? Yes. We currently serve as the standing event team for a Colorado media and events client (6+ events a year) and have held an 8+ year conference planning partnership with a regional credit union for its 400-employee all-company events. What states does BIG DEAL Company serve? We're based in Northern Colorado and serve clients across Colorado, Wyoming, and destination locations — including a nationwide, multi-year conference program spanning 20+ annual events across the country. What does a full-service conference planner actually handle? Venue and vendor sourcing, contract negotiation, budgeting, speaker and entertainment coordination, sponsorship and fundraising, registration and ticketing, event staffing, marketing and PR, on-site production, and permitting — ideally from one accountable team instead of five separate vendors. Cutting corners on event planning rarely shows up on the invoice. It shows up months later, in staff turnover and clients who quietly stop calling. Here’s what “good enough” actually costs. There is a version of event planning that looks fine from the outside. The room fills. The signage gets hung. Nobody trips over a cable. And underneath it, a coordinator has been fielding three vendor fires a day for two weeks, a sponsor who quietly decided not to renew, and nobody on the team has taken a full lunch break since the save-the-date went out. That’s the cost nobody puts on a spreadsheet. After 20 years planning events across Colorado, Wyoming, and around the US, we’ve learned that the difference between a good event and a forgettable one rarely comes down to budget. It comes down to what happens in the gaps: the vendor quote nobody questioned, the timeline nobody stress-tested, the detail that got waved through because everyone was tired. “Good enough” event planning has a price. It just doesn’t show up where you’re looking. The Invoice Only Tells Half the Story Every event has an obvious budget: venue, catering, staffing, print. Those numbers are easy to track and easy to defend. What’s harder to see is what happens when the planning underneath those line items is inefficient rather than intentional. Research on event operations supports this. Poor workflows, disconnected tools, and unclear ownership don’t just slow down a timeline. They inflate the budget in ways that are hard to trace back to a single decision. A last-minute speaker swap, a manual process that should have been automated months ago, a duplicated task because two people didn’t know who owned it: none of that appears as its own line item. It shows up as scope creep, rush fees, and a budget that ran over, with no one able to say exactly why. By the time you’re explaining the overage to finance, the actual cause is three decisions back and impossible to point to. What It Costs Your Team The quieter cost is the one that hits your people. Most businesses and organizations that plan events internally ask team members to fill roles and positions that may not align with their job descriptions. This work is usually demanded on top of all of their other duties and expectations. When the event planning is an “addition to”, roles can become unclear, and problems can get stuck on repeat. This doesn’t just produce a stressful few weeks. It can create compounding employee disengagement. Institutional knowledge walks out the door with every person who burns out and leaves, and the next event starts from a little further behind, or from scratch. We’ve seen this up close. A regional nonprofit lost its Communications and Development Director in the middle of a fundraising cycle and brought our team in to run its annual event. They were missing a base of institutional memory to draw from. Building the tracking system, vendor relationships, and sponsor engagement plan from scratch under a tight timeline is exactly the kind of pressure that breaks a planning process not built to withstand it. It didn’t break here – the event we helped plan went on to raise more than any prior year - but that outcome depended on treating the process itself as the thing worth protecting, not just the event day. What It Costs the Brand in the Room Attendees don’t separate a mismanaged moment from the organization hosting it. A confusing check-in line, a vendor who didn’t show, a session that ran forty minutes over – none of that reads as “the caterer’s fault” to the person standing in it. It reads as a reflection of the brand that put its name on the invitation. That’s a real risk, but it’s also where a track record starts to matter. Clients who’ve worked with us more than once tell us the same thing in different words: they came back because nothing fell through in front of their guests. We’ve supported organizations like Dementia Together with the kind of full-circle marketing and event support that, in year one, helped more than double their fundraising revenue – not because the events got bigger, but because the details underneath them stopped being an afterthought. Results like that come from planning that treats every touchpoint as visible, because to the person in the room, it is. Why “Easy” Vendor Relationships Are a Trap Here’s a pattern that shows up across the industry: the first quote gets accepted, the same vendors get rebooked out of habit, and nobody asks whether the relationship is still earning its price. It’s the path of least resistance, and it feels efficient right up until you look closely. The event professionals who consistently come in under budget without cutting quality aren’t the ones with the biggest vendor lists. They’re the ones who treat vendor management as a real discipline: comparing bids, questioning vague line items, asking why one quote is 20% higher than another with no explanation attached. That kind of scrutiny typically uncovers real savings, often in the range of 15 to 20 percent per event, simply by catching what “easy” would have let slide. Twenty years in Northern Colorado means we’ve built the kind of vendor relationships where that scrutiny doesn’t damage trust. It’s part of how the trust got built in the first place. What Good Actually Looks Like The alternative to “good enough” isn’t more expensive. It’s more deliberate. It looks like:
That’s the standard behind events like Live Loveland’s 60 Years Celebrating Seeds of Innovation held in 2022. We managed the full marketing and advertising campaign alongside 15 concurrent events in this single day of celebration. Our tasks included press coordination that reached media outlets across the state and an appearance by Colorado’s governor. Events at that scale don’t survive “good enough.” They survive because the planning underneath them was never treated as optional. The Real Question “Good enough” event planning isn’t a budget decision. It’s a bet that nothing underneath the surface will surface. Sometimes that bet pays off. But the cost of losing it – a burned-out team, a client who doesn’t call back, a sponsor who quietly walks – is almost always higher than what “excellent” would have cost from the start. FAQs What are the hidden costs of poor event planning? The visible costs are budget overruns, rush fees, and last-minute vendor charges. The hidden costs are staff burnout, lost institutional knowledge, damaged sponsor relationships, and attendees who quietly associate a rough experience with your brand rather than with any single vendor. How does event planning quality affect staff retention? Constant firefighting and unclear ownership wear teams down over time. When the same preventable problems keep recurring, disengagement follows, and turnover takes institutional knowledge with it — knowledge that's expensive and slow to rebuild. What's the real difference between a budget planner and a strategic partner? A budget planner accepts the first reasonable quote and manages the event as it comes. A strategic partner questions vendor line items, tests timelines before they're needed, and treats every detail as visible to the people in the room — which is usually where the actual savings and the actual trust get built. But with hundreds of moving parts, even the most organized couples can run into unexpected challenges. From budget missteps to timeline chaos, small mistakes can snowball into major stress. At Big Deal Company, we’ve seen it all and, more importantly, we know how to help you avoid these problems. Here are 10 common wedding planning mistakes and tips to make sure your big day goes smoothly. 1. Starting Without a Clear Budget Wedding planning can quickly become stressful if you skip the budget talk at the start. It’s easy to fall in love with a venue, a designer dress, or elaborate flowers, but costs can add up fast. Without a clear budget, couples may make emotional choices instead of smart ones, leading to overspending or tough compromises later. A solid budget guides your decisions and helps you focus on what matters most, like great food, entertainment, or photography. Adding a backup fund means you’ll be ready for any surprise expenses, which almost always happen. 2. Letting Pinterest Set Unrealistic Expectations Pinterest and Instagram are great for ideas, but they can also set unrealistic expectations. Many online weddings have big budgets, full teams, or custom features that aren’t practical for everyone. Trying to copy these exactly can be frustrating if costs or logistics don’t match your situation. Use inspiration boards to help define your style, not as a list to copy. The best weddings feel true to you, not just like a perfect photo. Focus on what you love and make it work for your vision, space, and budget. 3. Waiting Too Long to Book Vendors Timing is key in wedding planning, and waiting to book vendors can really limit your choices. Popular venues, photographers, planners, and caterers often book up a year in advance, especially during busy seasons. If you wait too long, you might have to settle for less or pay more for last-minute options. Booking early also helps your vendors work together and understand your vision. Planning ahead reduces stress and lets you focus on the fun, creative parts of your wedding instead of rushing to fill gaps. 4. Not Finalizing the Guest List Early Your guest count affects everything, from the size of your venue to how much you spend on food. If you miscalculate, you could end up with too many people or spend more than planned. Create a rough guest list before booking major vendors. 5. Trying to Please Everyone Family and friends will have plenty of opinions. Trying to make everyone happy can water down your own vision for the day. Stay grounded in what you and your partner want. It’s your day. 6. Skipping a Wedding Planner or Coordinator Many couples don’t realize how much coordination a wedding day needs. Even with careful planning, someone has to manage the schedule, talk to vendors, handle surprises, and keep things running smoothly. Without a professional, these jobs often fall to family or the couple, which can take away from enjoying the day. A wedding planner or coordinator serves as both a strategist and a problem-solver, ensuring everything goes as planned. Whether you choose full planning or just day-of help, having an expert lets you relax and enjoy your wedding, knowing the details are covered. 7. Underestimating the Timeline A wedding day timeline is more than just a schedule; it’s what keeps the whole event together. Many couples underestimate how long things really take. Hair and makeup can run late, traffic can slow down transportation, and family photos often take longer than planned. These small delays can add up and cause bigger problems. Without extra time built in, the day can feel rushed, and important moments might be missed. A good timeline allows for these delays, making the day flow smoothly and helping everyone feel more relaxed. 8. Ignoring Guest Experience It’s easy to focus on aesthetics—but your guests remember how the day felt. Think through flow, comfort, food timing, and overall experience. 9. Overloading the Details More isn’t always better. If you add too many decorations or activities, the day can feel crowded and overwhelming. Choose a cohesive theme and prioritize quality over quantity. 10. Forgetting to Enjoy the Moment With so many details to handle, couples can easily get caught up in the planning and miss out on enjoying their own wedding. If you focus too much on timing or perfection, you might forget what the day is really about. The best moments are often the unplanned ones, like laughter, quiet talks, and being with loved ones. To be present, plan some private time together, take a break during the reception, or trust your team to handle things. When you let go and enjoy the day, it becomes truly unforgettable. Why Working with Professionals Makes All the Difference Planning a wedding is like putting together a big, one-day event. With the right team, every detail will go smoothly, from working with vendors to keeping the schedule on track. If you avoid these common mistakes and work with experienced professionals, you can create a celebration that feels easy, meaningful, and truly your own. Because at the end of the day, it’s not about perfection—it’s about the experience. FAQs 1. What is the most common wedding planning mistake? The most common mistake is failing to set a realistic budget early, which can lead to overspending and difficult decisions later in the process. 2. When should I start planning my wedding? Ideally, you should begin planning 12–18 months in advance to secure your preferred venue and vendors. 3. Do I really need a wedding planner? While not required, a planner or coordinator can significantly reduce stress, manage logistics, and ensure your wedding day runs smoothly. It frequently appears in lists highlighting the top five of high-stress careers, alongside professions involving life-or-death decisions such as firefighting and healthcare. While event planning may not deal with direct physical danger, the immense mental and emotional strain of the job can be quite overwhelming. Event planners are responsible for coordinating numerous moving parts, managing multiple stakeholders, and ensuring that everything runs smoothly. Even the smallest mistake can lead to major disruptions, creating intense pressure in a “one and done” situation. Whether it’s a corporate conference, wedding, or large-scale public event, the stakes are high, and the stress levels reflect that. Research consistently highlights the unique demands of the job, with many surveys recognizing event planning as one of the most anxiety-inducing careers worldwide. The Unpredictable Nature of Event Planning A key factor contributing to the stress of event planning is its unpredictable nature. From weather disruptions to last-minute changes in client preferences, planners must remain flexible and quick on their feet. This unpredictability means that event planners can never truly relax until the event concludes successfully. Any unforeseen issue, such as a vendor failing to deliver on time or technical problems with audiovisual setups, can lead to elevated anxiety levels. Managing these unexpected challenges while still delivering a perfect event experience is difficult. Planners must often troubleshoot on the go, making quick decisions to prevent any negative impact on the event’s outcome. Post-Covid Challenges in Event Planning The COVID-19 pandemic introduced new stressors to an already demanding industry. Following this worldwide disruption, event planners now face higher costs in several areas, including audiovisual equipment, beverage services, and most deeply felt, food. Some of these costs have risen by over 20% compared to pre-pandemic levels. This financial burden is particularly stressful for planners working on tight budgets - especially those who have been charged to plan large-scale fundraisers for nonprofits and service groups. With senior leadership and Board of Directors demanding profitable events, planners are left in a tough spot - they must meet expectations without compromising on quality or attendee experiences. Adding to this pressure is the challenge of reduced revenues and attendance. Many organizations report that their event income has fallen significantly since 2019, yet planners are still expected to deliver exceptional experiences despite fewer resources - “do more with less”. This has produced a perfect storm of rising costs and reduced incomes, creating an environment ripe for stress and anxiety. Beyond the state of events in the aftermath of COVID-19, there are many other reasons why your favorite event planner is a ball of stress:
A Rewarding Yet Stressful Career Path Event planning is undeniably one of the most stressful jobs in the world, but it can also be one of the most rewarding. However, the journey to that successful moment can often be filled with challenges, stress, and BIG pressure. You may not copy, reproduce, distribute, transmit, modify, create derivative works, or in any other way exploit any part of our materials without the prior written permission from My Big Day LLC Why a “Day of” Wedding Coordinator is a Thing of the Past A wedding is more than just a ceremony - it’s an intricate event filled with emotions, many details, and months (sometimes years) of preparation. Big Deal Company has worked for years in the wedding industry. In the past, many couples relied on our expertise and secured our services as “day of” wedding coordinators to help bring their vision to life on their big day. However, recently, we have seen this role of “day of” coordinator fade away. More couples have realized the importance of a comprehensive, all-inclusive wedding planning service. This shift is driven by the growing understanding that successful weddings are the result of meticulous planning, consistent communication, and thorough collaboration - elements that are hard and nearly impossible to achieve well with just a “day of” approach. Bottom line - a wedding is often a huge investment, and you want to support and see that investment thrive! The Evolution of Wedding Planning Weddings have always been complex events, but the expectations surrounding them have evolved significantly over the years. Today, weddings are not just about two people exchanging vows - although that is the most basic and important part of the day. Today’s weddings are about creating unforgettable experiences reflecting the couple’s personality, style, and love story. As a result, wedding planning has become a year-long process that requires attention to detail, creativity, and the ability to manage unexpected challenges. (This is especially true when it comes to finding the perfect venue - many of our favorites are booked out months, if not years, in advance!) The “day of” wedding coordinator was once a popular option for couples who wanted to save money by handling most of the planning themselves, only to bring a professional in at the last minute to ensure everything ran smoothly. However, the limitations of this approach have become increasingly apparent. Coordinators who come in at the eleventh hour often lack an in-depth understanding of the couple’s vision and the intricate details that have been planned over months. This can lead to disjointed events that often fall short of expectations. Why “Day of” Coordination Falls Short Imagine a situation where our team of highly skilled and professional planners is brought in just days before the big event. Our team must familiarize ourselves with all of the vendors, the timeline (sometimes multiple), and specific details in a very short period of time. Our team has the expertise to manage logistics - no problem! - but sometimes there is a disconnect with the couple’s unique preferences, like for example, the significance of certain elements, and such. This can mean that certain subtle nuances that make the wedding truly personal for the couple, run the chance of being missed or understated. The result is often a cookie-cutter event that is well-executed but lacks the more personal touches that automatically come from a deeper, more involved planning process. “Day of” coordinator roles are more reactive rather than proactive. Their main role is to put out fires and ensure nothing goes wrong. Without prior involvement, a day-of coordinator might not be able to anticipate potential issues or have a full contingency plan in place. In contrast, a coordinator who has been involved from the beginning is better equipped to foresee challenges (hello, wild family dynamics – weddings sometimes bring out the worst in people!), address concerns, and ensure the day unfolds seamlessly according to the couple’s vision. The Benefits of Full-Service Wedding Planning Couples who truly want to enjoy their wedding day without stress or last-minute surprises are increasingly opting for full-service wedding planning contracts. These contracts typically involve the coordinator from the early stages of planning, allowing them to work closely with the couple to understand their vision, preferences, and priorities. Our team spends time listening to our wedding couples, and asking a series of in-depth questions so that we can walk with that couple from the beginning stages of planning all the way down the aisle (not literally - although ask us about our tips on how to get a shy flower girl down the aisle - sometimes you’ve got to do what you’ve got to do!). Here are some key benefits of choosing a full-service wedding planner over a “day of” coordinator: Seamless Communication and Collaboration When a wedding planner is involved from the start, they become an integral part of the planning process. They communicate regularly with the couple, vendors, and venue staff, ensuring that everyone is on the same page. This continuous communication helps to build strong working relationships, allowing the planner to better understand the couple’s needs and wishes. It also provides a strong foundation, making sure that any changes or adjustments can be made smoothly and efficiently. Personalized Wedding Experience A full-service planner has the time and opportunity to get to know the couple on a personal level. They can offer creative ideas, suggest vendors that match the couple’s style, and help to create a wedding that truly reflects the couple’s personality. Our expertise comes with years of connections - we have a deep understanding of the wedding industry and we know the “exceptional” vendors who will make the day perfect in every way. Detailed Planning and Execution A full-service wedding planner is involved in every aspect of the wedding, from the initial concept to the final details. They help create a detailed timeline, coordinate with vendors, and manage the logistics of the day. This level of involvement ensures that every aspect of the wedding is carefully planned and executed leaving nothing to chance. You don’t know what you don’t know – but Big Deal Company DOES know! We won’t miss important details and will help guide couples with the big and small decisions. We’ve planned hundreds of weddings - most couples, hopefully, have not! Peace of Mind One of the biggest benefits of hiring a full-service wedding planner is the peace of mind it provides. Couples can rest assured that every detail is being handled by a professional who is fully invested in making their day perfect. They can relax and enjoy their wedding day without worrying about whether everything is going according to plan. Why Investing in a Wedding is Worth It Weddings are one of the most significant investments a couple will make, both financially and emotionally. Given the importance of the day, it’s worth investing in a planning service that offers comprehensive support. While a “day of” coordinator might seem like a cost-effective option, it can ultimately lead to stress and disappointment if things don’t go as planned. Couples who choose a full-service planner are investing in more than just a coordinator - they’re investing in peace of mind, a well-organized event, and a wedding that truly reflects their vision. The higher upfront cost is offset by the assurance that the wedding will be handled with care, expertise, and attention to detail, possible vendor discounts through established relationships, and more - resulting in a day that is both memorable and enjoyable. The Changing Expectations of Couples The wedding industry has changed a lot over the years. As a result, today’s couples are more informed and have higher expectations for their wedding day. They are less willing to leave important details to chance and more likely to seek out services that offer comprehensive support. The rise of social media, Pinterest, and wedding blogs has also played a role in shaping these expectations, as couples now have access to a wealth of information and inspiration. With this increased awareness comes the realization that “day of” coordination may not be enough to achieve the desired outcome. Modern couples want a planner who can guide them through the entire process, from the initial concept to the final details. They want someone who can offer personalized advice, handle the unexpected, and ensure their wedding day is everything they dreamed (and paid for) it to be! A Day of Fun-Filled Activities Beyond the swings and birdies, event staff and Big Deal Company ensured that participants and event sponsors enjoyed a fun-filled day. There were exciting games to foster competition and opportunities to win prizes - including golfing passes for Mariana Butte. Golfers were able to enjoy cold drinks at course beverage carts and were treated to lunch at the conclusion of the event. Games, drinks, and food helped make it an enjoyable experience for all involved. A Heartfelt Thank You The success of the tournament would not have been possible without the support of all those involved - the golf pros, event professionals, foundation staff members, and sponsors. This year, the event was presented by Bank of Colorado and FCI Constructors, Inc. First National Bank of Omaha served as Club Sponsor, while construction company Saunders Heath was the Tee Sponsor. Weedin Agency was the Hole in One Sponsor, and Center for Advanced Dentistry and Wold helped provide the Beverage Carts for thirsty golfers. The 2023 Hole Sponsors were: Cunningham Ent Credit Union Holcim Foothills Credit Union Good Samaritan Society - Loveland Village Xfinity Blas Estrada from The Group Collegiate Peaks Bank Starr & Westbrook, P.C.
