At Big Deal Company, we’re proud to support several incredible nonprofit partners with everything from development strategy and campaign planning to event production, as well as internal and external communications. And if there’s one question we hear across the board, it’s this: “Are our fundraising events still worth it?” It’s a great question - and an important one. As fundraising trends continue to shift in a post-pandemic world, many organizations are taking a closer look at how events fit into their overall development plan. Are they bringing revenue? Are they building relationships? Or are they draining resources without delivering meaningful returns? Recently, our team member, Carrie, had the opportunity to dive deep into this topic for her capstone project that was part of her time at the Institute for Leaders in Development. She explored the transition many nonprofits are making - from transactional, event-heavy fundraising models to more transformational, relationship-forward strategies. Why the Shift? Events have long been a go-to fundraising strategy. They create visibility, bring people together, and can be an exciting entry point for new supporters. But they also come with real challenges:
A recent White Paper by Big Deal Company on event trends in Colorado found that over 70% of event hosts reported increased expenses, and nearly 63% saw declining attendance. When the return on investment (ROI) shrinks and burnout increases, it’s time to reconsider how events fit into your fundraising mix. So….Should We Kill the Gala? Not necessarily. However, we recommend evaluating every event through a strategic lens. During an ILD interview with Lizz Helmsen, a consultant with Carter Global - a philanthropic forward nonprofit consulting company- shared her perspective as an “event killer,” but not because she’s anti-event. Rather, she encourages nonprofits to be selective and intentional. Her framework for event evaluation includes three key criteria:
Tools for Quantifying Your Events A simple Event Evaluation Rubric can be used to review past and upcoming events. Ask yourself:
Sometimes, it’s not always about the dollars raised at the event - it’s also about the long-term return. For example, an intimate donor dinner that sparks a $25,000 multi-year gift a few months later could have a bigger impact than a large gala that breaks even. What’s Next? Make the Shift with a Plan If you’re considering shifting from large-scale events to more relationship-based fundraising, have a roadmap. Here’s what we recommend:
Don’t Forget Your Small Donors In relationship-focused fundraising, every donor matters. Small, recurring donors are often the backbone of a sustainable giving program. With the right communication and engagement strategies, they can grow into long-term supporters, advocates, and even major donors over time. Let’s Build A Smarter Strategy Together Fundraising isn’t one-size-fits-all. During her ILD journey, Carrie heard from nonprofit leaders using all kinds of models - some event-heavy, some event-free - and each one had valid reasons for their approach. The key is to be intentional, data-informed, and mission-aligned. At Big Deal Company, we’re here to help you do just that. Whether you’re planning your next signature event or rethinking your entire development calendar, we’re ready to help you ask the right questions and build a plan that works - for your mission, your team, and the community you serve. At Big Deal Company, we believe business should be personal - and joyful! We’re a collective of creatives, marketers, and event professionals who thrive on collaboration, original ideas, and bringing a touch of magic to every event or campaign we take on. Beyond our collective brainstorming sessions and big-scale productions, there is one thing that grounds everything we do: COMMUNITY. That’s why our almost decade-long partnership with Animal Friends Alliance is more than just a sponsorship - it’s a shared mission. For nearly ten years, Big Deal Company has proudly supported Animal Friends Alliance through our annual Easter Keg Hunt, where a portion of the proceeds is donated to help provide care, shelter, and forever homes for animals in need. What began as a fun community event has quickly become a meaningful tradition for our team. It’s one way we blend our love for creative and joyful experiences with our passion for giving back and supporting our communities. And it’s not just our company that’s pet-obsessed - our team members are too! (Scroll down to see a few of our four-legged coworkers in action.) Whether we’re organizing large-scale events or refining marketing strategies, many of our brightest ideas have come with a purring cat in our lap or a pup curled under the desk! As a BizPaw sponsor, we’re honored to support an organization that embodies the values we hold close: compassion, connection, and care. Animal Friends Alliance does incredible work to ensure animals in our community are safe, healthy, and loved - and we’re grateful to play a small part in that mission. Our team at Big Deal Company specializes in:

Planning an event is like playing Jenga. Every piece holds another piece up and when they line up it’s perfect. The venue is one of the biggest pieces that can balance out and save other pieces from falling. But what exactly makes a venue perfect for your event? For corporate meetings, weddings, or charity galas, these top 10 venue must-haves will help you lock in success! 1. Location, Location, Location The first rule of real estate applies to event venues too. Choose a spot that’s easy to find, close to public transport, and has ample parking. Bonus points if it’s in a trendy neighborhood that guests will be excited to visit. BDC Pro Tip: Check out the surrounding area for restaurants, hotels, and attractions to keep your guests entertained before and after the event. 2. The Right Atmosphere Your venue sets the tone for the entire event. A rustic barn might not scream "corporate excellence," just as a sterile boardroom won’t fit a whimsical wedding. BDC Pro Tip: Consider the vibe you’re going for. Does the venue enhance your theme, or will you need to spend time and money transforming it? 3. Flexibility with Layouts A great venue offers flexibility. You should be able to arrange seating, stages, and dance floors to fit your needs. No one wants to be stuck in a venue that’s rigid about floor plans. Some venues even charge extra if you move around too much furniture, so ask ahead of time. BDC Pro Tip: Ask if the venue has movable walls, customizable lighting, and various furniture options to help bring your vision to life. 4. Tech-Savvy Amenities In today’s world, tech can make or break an event. Look for venues with strong Wi-Fi, AV equipment, and enough power outlets to keep your tech-savvy attendees happy. It’s especially nice if they have a specific contact who will be on hand to help with any last-minute questions. BDC Pro Tip: Test the Wi-Fi strength before booking—especially if you’re planning a hybrid event, live-streaming, or digital ticket check-in. 5. A Dedicated Point of Contact A venue with a dedicated event coordinator is a game-changer. They know the ins and outs of the space and can troubleshoot problems before you even realize they exist. BDC Pro Tip: Build a relationship with this person. Their insider knowledge can save you time, money, and headaches. 6. Catering Options That Wow Let’s face it—food is a highlight of any event. Your venue should either have a top-notch catering team or allow you to bring in your own caterer. BDC Pro Tip: Ask about menu customization and dietary accommodations. A gluten-free option here and a vegan dish there can make all the difference for guests. 7. Adequate Restrooms (Yes, Really!) It’s not glamorous, but restroom availability is crucial. No one wants long bathroom lines at a formal event. BDC Pro Tip: Make sure the restrooms are clean, well-stocked, and easily accessible. If the venue has attendants to maintain them during the event, even better! 8. Ample Parking (or Easy Transport Options) Guests should feel relaxed when they arrive—not stressed from circling the block for parking. If parking is limited, ensure there are clear alternatives, like ride-share drop-off zones. BDC Pro Tip: If the venue is in a busy area, consider arranging a shuttle service to make transportation seamless. 9. Accessibility for All Your venue should be welcoming to everyone, including those with disabilities. Check for ramps, elevators, and accessible restrooms. BDC Pro Tip: Don’t forget about acoustics for guests with hearing difficulties and clear signage for those who might need assistance navigating the space. 10. Backup Plans (Because Life Happens) Even the best-planned events can hit a snag. Whether it’s a sudden rainstorm or a tech failure, your venue should have contingency plans. BDC Pro Tip: Ask about indoor/outdoor options, generator backups, and on-call staff to handle unexpected hiccups. Choosing the right venue can feel overwhelming, but focusing on these must-haves will make your decision easier—and your event more successful. The holiday spirit, tax benefits, and seasonal giving days create a unique opportunity to drive donations that support mission-driven initiatives. Here are essential year-end fundraising tips to make the most of this giving season and set your nonprofit up for success. 1. Segment Donor Lists for Targeted Messaging An effective way to reach donors is by tailoring messages that resonate. Start by pulling your donor lists and segmenting them by factors like donation frequency, donation amount, or specific past campaign involvement. With segmented lists, you can craft personalized messages for each group to increase engagement and the likelihood of donations. For example, you could target major donors with messages about impact-driven milestones and smaller donors with updates about ongoing needs or progress. Benefits of Donor Segmentation:
2. Review Last Year’s Fundraising Results for SMART Goal Setting Take a data-driven approach by analyzing previous years’ fundraising performances. Identify which channels (email, social media, direct mail) contributed the most and how different donor segments responded to each campaign. This insight will help you create SMART (Specific, Measurable, Achievable, Relevant, and Time-bound) goals and set predictable outcomes for this year. SMART Goal-Setting Tips:
3. Create a Year-End Marketing and Communications Calendar An organized marketing calendar is essential to manage the complex end-of-year giving season. Include special dates and events, distribution channels, target audience segments, and clear calls to action for each campaign. Assign team members responsible for each action and track key performance indicators (KPIs) to evaluate effectiveness. Components to Include in Your Calendar:
4. Send a “Loop-Back” Email to All Donors A “loop-back” email is an effective way to re-engage previous donors. Send an email to donors who contributed in the past, reminding them of their impact and encouraging them to support your mission again this year. Highlight how last year’s donations were utilized and share stories of success. Why Loop-Back Emails Work:
5. Gather Stories to Inspire and Share Donors respond to real stories of lives changed or community improvement. Gather stories from your beneficiaries, staff, or volunteers that exemplify your organization’s impact. These narratives can be shared through emails, social media, or even a dedicated video campaign to bring your mission to life. How to Use Stories Effectively:
6. Send Thanksgiving Gratitude Messages Thanksgiving offers a perfect time to express your appreciation to all of your generous donors. Utilize “You” language in messages to all of your donors, thanking them for their contributions throughout the year - “Because of You”, “Your Kindness….”, “Your support has made a difference”. This message doesn’t need to or shouldn’t ask for a donation. Expressing gratitude fosters goodwill and reinforces the donors’ sense of purpose and impact. Ideas for a Gratitude Campaign:
7. Secure a Matching Gift Opportunity Donor matches are a powerful way to maximize contributions, as many donors are motivated by the potential to double their impact. Work with major donors or corporate sponsors to set up a matching gift for year-end giving campaigns. Highlight this match in all promotional materials to encourage giving. Matching Gift Tips:
8. Set Up a Peer-to-Peer Holiday Giving Campaign Peer-to-peer fundraising engages your supporters in promoting your cause within their personal networks, expanding your reach organically. Equip volunteers, board members, and loyal donors with the tools they need to run mini-campaigns on your behalf. Provide sample social posts and email templates to make it easy for them to ask friends and family for support. Peer-to-Peer Campaign Tips:
9. Use Clear Calls-to-Action in All Communications Every piece of communication should include a clear, compelling call to action (CTA). Whether it’s donating, volunteering, or sharing a story, a CTA should be specific and easy to follow. Phrases like “Donate Now to Double Your Impact” or “Yes - I want to provide affordable housing for families in my community!” are both actionable and inspiring. 10. Focus on Growing Your Donor Base, Not Just the Funds Raised When evaluating year-end fundraising success, nonprofits often focus on the total amount of funds raised. However, emphasizing the number of new donors can be equally valuable, if not more so. Attracting new supporters expands your donor base, builds long-term relationships, and boosts future fundraising potential. By welcoming new donors, your organization creates a broader community of advocates and supporters who may contribute regularly, increasing your impact over tie. Celebrating this growth in new supporters highlights the strength and reach of your mission beyond just dollar amounts - making it feel less transactional, and fostering a stronger, more diverse network of supporters for years to come. With thoughtful planning and data-driven approaches, nonprofits can make the most of the end-of-year giving season. By segmenting donor lists, setting clear goals, sharing impactful stories, and expressing gratitude, you can build stronger connections with donors and inspire increased contributions. Utilize these strategies to create a memorable and successful year-end fundraising campaign that sustains your mission well into the coming year. Big Deal Company is proud to support many nonprofits during the end-of-year giving season and beyond, helping organizations maximize their impact through strategic fundraising campaigns and successful event fundraisers. However, with a strategic approach, even limited resources can provide great results. Big Deal Company has pulled together some practical tips and tricks to help your nonprofit effectively market your cause without breaking the bank. 1. Know Your Audience The foundation of successful marketing is knowing who you are speaking to. Are you targeting potential clients, donors, or businesses? Each audience has different motivations and needs, so it’s imperative that you tailor your messages accordingly.
2. Use Donor-Centric Language When marketing to donors, make THEM the hero of the story. Use “YOU” language to show how their contribution makes a difference. For example, instead of saying, “Our organization provides food to families in need,” say, “YOU can provide food to families in need by supporting this mission.” This makes the donor feel personally involved in creating change. 3. Leverage Social Media for Free Promotion Social media platforms like Facebook, Instagram, and LinkedIn offer free tools that can help you reach a larger audience. Focus on:
4. Collaborate with Local Influencers, Organizations, and Volunteers Reach out to local influencers, groups, community leaders, or even businesses that align with your cause. They can amplify your message by sharing it with their networks. Similarly, dedicated volunteers can help spread the word and even assist with event organization or marketing efforts. Big Deal Company always creates an event or campaign Media Kit that can easily be distributed to Board Members or organizational ambassadors so they can help spread the word! 5. Create an Email Newsletter Email marketing remains one of the most cost-effective ways to communicate directly with your audience. Use newsletters to:
6. Utilize Free Tools and Resources There are a plethora of free or low-cost marketing tools that can help you get the job done efficiently:
7. Host Virtual or Low-Lift Events Events don’t have to be expensive to be impactful.
