You may not copy, reproduce, distribute, transmit, modify, create derivative works, or in any other way exploit any part of our materials without the prior written permission from My Big Day LLC Outdoor events are no longer at the mercy of a few errant storm clouds - they now face an era defined by extreme weather threats that demand strategic foresight. Severe storms in the U.S. not only send events scrambling, but can cause injuries, fatalities, and lawsuits that climb into the tens of millions. That means event professionals must rethink everything - and at Big Deal Company, we make sure our clients never go it alone. We guide clients through every step - from scheduling to structure - our planning process is grounded in resilience. The stakes? Higher than that festival stage you just reinforced. How Big Deal Protects Our Clients from Wild Weather Strategic Venue Selection & SchedulingWe know Colorado weather is unpredictable - snow in October, hail in June, and blazing heat in August. When scouting venues, we weigh weather patterns, accessibility, and built-in contingencies. If an outdoor space is your dream, we’ll also identify indoor backup options so your event has a seamless Plan B (and sometimes even a Plan C). Event Insurance Guidance We encourage every client to consider event insurance as a non-negotiable safeguard. Cancellation coverage, weather-related clauses, and force majeure details can make the difference between a total loss and a manageable hiccup. We walk you through options and ensure vendor contracts are flexible enough to protect your investment. Weather-Ready Infrastructure When tents, stages, or outdoor structures are part of the plan, we insist on architecturally sound, reinforced designs that can withstand unpredictable elements. Rental companies must adhere to state and local laws regarding tent weights and staking. Real-Time Weather Monitoring Event companies must occasionally shift their focus from spreadsheets and timelines to monitoring the weather. Tools such as AccuWeather, DTN, and local forecasting can help prepare for the real weather during the event - not just what was predicted two weeks ago. Tailored Hazard PreparednessFrom lightning to high winds, hail to wildfire smoke, we build in hazard-specific strategies. That includes designated shelter zones, timed vendor load-ins, and communication protocols that keep everyone- from your guests to your catering team - in the loop. Why It Matters Weather can’t be controlled, but with a solid plan in place, your event stays safe, your guests feel cared for, and your vendors have confidence in the flow of operations. At Big Deal Company, we believe that when the unexpected happens, preparedness makes the planner look like a hero - and ensures your event still delivers on joy, connection, and impact. Because after all, a storm may roll through, but with the right foresight, your event doesn’t have to be washed away. New tools? New trends? We are all about it! But sometimes, it is helpful to hit the pause button, particularly when it comes to AI. Don’t get us wrong - AI has some amazing uses. It can streamline a schedule, crunch data like a champ, and it is a helpful tool in brainstorming creative ideas and jumping off points. But when it comes to planning real-life events with real-life logistics (and budgets!).... Let’s just say there are some major reality checks happening. When AI Inspo Gets Out of Hand Let’s start with what’s driving planners and creatives a little nuts these days. Clients are coming in with AI-generated “inspo” pics that oftentimes look like they were ripped straight from a sci-fi fantasy - literally impossible to pull off. We’re talking about extravagant chandeliers hanging from glass ceilings, flower walls defying gravity, hair that could only exist in a wind-free world. Wedding planners, stylists, and even plastic surgeons are all saying the same thing: AI is warping expectations, and it’s putting professionals in a tough spot. One wedding consultant told The Washington Post she lost a five-figure gig just for saying, “Hey, maybe the Met Gala look isn’t in your $10K budget.” Ouch. AI Can Be Smart - But It’s Not Creative Like a Human AI is a powerful tool for streamlining schedules and analyzing data - but it doesn’t get the vibe or vision of an event the way humans do. An AI tool might say, “Great, let’s do a Gatsby-themed party,” without realizing that you’ve already had three Gatsby parties in your circle this year - and everyone’s over it. Events aren’t just schedules and color palettes - they’re emotions, energy, and connection. And you need humans to truly get that. AI-generated ideas often result in uninspiring and generic event themes, missing the emotional resonance that human planners provide. Misinformation is a Real Risk Another AI issue? AI sometimes just makes stuff up. These are often called “hallucinations,” and they’re a big deal in event planning. Imagine putting the wrong location on invites or promising a feature that doesn’t even exist - just because AI spit it out. One wrong detail and you’re dealing with big chaos on the big day. For example, we ran event information for one of our clients through a design app’s AI feature to create an event poster, and this is what it spit out: The AI-description it provided for the poster read: “A vibrant poster announcing a book release party for 'Brewed at Altitude' hosted by Mulberry Max on May 3rd. The design features a stylized illustration of a mountain range with a steaming mug of beer superimposed, set against a backdrop of sunset hues. The text ‘Brewed at Altitude Book Release Party’ is prominently displayed in a bold, elegant serif font, with supporting text detailing the event: a lecture by Colorado historians and authors and local brewery tastings. The overall style is clean, modern, and visually appealing, incorporating elements of vintage poster design.” A steaming mug of beer? Misspelling? Yikes! However, on a serious note, AI missed the boat on date, time, and location. Some of that is in the design, but it is not very clear and certainly not on brand. Let’s Talk About Data Privacy (Because It’s a Big Deal at Big Events) Like we’ve already said - AI can help support large projects, whipping up personalized itineraries, automating customer service, and even generating slick marketing designs with a few pitfalls (reread that last section). However, we can’t ignore the elephant in the ballroom: data privacy. When you’re planning large-scale conferences or corporate events, you’re collecting a lot of attendee data - everything from dietary restrictions to session behavior to professional affiliations. That’s a goldmine of information - and a massive responsibility to safeguard. Real talk: The moment you feed that data into an AI tool, you’ve got to ask some serious questions. Who else can access it? Where is it stored? How is it used? And are you absolutely sure it’s secure? Real tip: Don’t input sensitive information into just any AI app - especially not public ones. And when using tools like ChatGPT for creative stuff, keep your prompts super generic. That marketing headline? Go ahead. Internal attendee data or budget details? Steer clear. If you’re managing a big event, think of AI as a helpful assistant. Great at sorting information and handling tasks - but not someone you hand the keys to the vault. Protect your attendees. Protect your organization. And be smart about how you use the technology. It’s Not Cheap Either AI is not always the budget-friendly solution it’s hyped up to be. There are a lot of free or low-cost AI tools floating around, but when you’re looking at scalable, secure, and truly effective AI for event planning - especially for corporate meetings and conferences - you’re entering serious investment territory. For example, custom AI-powered event apps. Between development, software licenses, integrations, testing, and ongoing maintenance, you could easily be looking at a $25,000 - $50,000 price tag. That’s before you even account for team training, cybersecurity compliance, or system upgrades. Ouch! The big takeaway? AI can definitely be powerful, but it’s not plug-and-play on a shoestring budget. You need a solid strategy and wallet to make it work without compromising on security, creativity, or control. Take it from our 3-handed AI generated team member below. The Bottom Line: Keep It Real At Big Deal Company, we love innovation. But we also love reality. While AI can be super helpful behind the scenes, it’s not ready to take over event planning yet. Your dream day, launch party, or corporate bash deserves ideas that are doable, creative, and crafted by professionals who get it. So - bring the AI inspo if you want - we’ll help you filter it through what is actually possible. Because when it comes to planning an unforgettable event, the human touch still wins every time. You may not copy, reproduce, distribute, transmit, modify, create derivative works, or in any other way exploit any part of our materials without the prior written permission from My Big Day LLC Building strong client relationships doesn't have to feel like a corporate handshake marathon. The best connections happen when people are engaged, having fun, and feeling genuinely appreciated. VIP experiences, hands-on workshops, or themed parties, the key is creating moments that build trust and lasting partnerships—without the boring small talk. 1. Exclusive Client Appreciation Dinner Nothing says "we appreciate you" like an unforgettable meal. Host a private dinner at a top-notch restaurant, a chef's table experience, or even a rooftop soirée with a killer view. Whether it's a wine pairing, a tasting menu, or a laid-back family-style feast, the goal is to make clients feel special in a relaxed, intimate setting. 2. Interactive Workshops Why tell clients about what you do when you can show them? Hands-on workshops are a great way to share knowledge while keeping things fun and engaging. Whether it's a live demo, a skill-building session, or an insider look at your process, adding interactive elements like Q&As or group activities makes it more memorable. 3. Networking Mixers Ditch the stiff business gatherings and make networking actually enjoyable. Host a mixer in a fabulous setting like an art gallery, brewery, or rooftop lounge. Add icebreakers or fun activities to keep the energy up. Think live music, themed cocktails, or even a game night twist to help spark meaningful connections. 4. Community Service Events Doing good together is a great way to build stronger relationships. Get clients involved in a cause that matters—volunteer at a local nonprofit, organize a charity run, or even host an eco-friendly initiative like a tree-planting event. It's a win-win: you strengthen bonds while making a positive impact. 5. Virtual Webinars When in-person isn't an option, virtual events are the next best thing. Host an engaging webinar on a hot industry topic, invite a guest speaker, or run an interactive Q&A session. Keep it lively with polls, live chat, and real-time discussions. Bonus: record it so clients can refer back anytime. 6. VIP Experiences Give your clients an experience they won't forget. Think behind-the-scenes access, sneak peeks at upcoming products, or something extra special like a VIP box at a concert or sporting event. Whether it's an exclusive preview or a once-in-a-lifetime outing, the goal is to make them feel like true insiders. 7. Roundtable Discussions Sometimes, the best ideas come from an open, honest conversation. Host a roundtable discussion with a select group of clients to chat about industry trends, challenges, and opportunities. Keep it informal, encourage participation, and let everyone share insights—it's a great way to build trust and show clients you value their expertise. 8. Customer Appreciation Days A full day dedicated to celebrating your clients? Yes, please. Host an in-person or online event with special discounts, giveaways, or exclusive perks. Add fun elements like a pop-up party, live music, or surprise treats to make them feel genuinely appreciated. 9. Annual Conferences A yearly event that brings clients together to learn, network, and get inspired? Sounds like a must. Offer compelling speakers, engaging breakout sessions, and interactive panels. Don't forget the fun stuff—think cocktail hours, entertainment, or even a surprise guest appearance to keep things lively. 10. Themed Parties Because business events don't have to be boring. Throw a themed party that allows clients to unwind and have fun. Whether it's a Gatsby-style soiree, a tropical luau, or a winter wonderland bash, adding themed décor, food, and entertainment makes for a memorable night they won't stop talking about. At BIG DEAL Company, we know that a great event isn't just about logistics—it's about creating an experience your clients will rave about. From concept to execution, our full-service marketing and event planning team can take your client appreciation event from good to unforgettable. Whether you're looking to host an intimate dinner, a high-energy mixer, or a full-scale conference, we'll handle the details so you can focus on building those all-important relationships. Let's make your next event a BIG DEAL!

Every piece holds another piece up and when they line up it’s perfect. The venue is one of the biggest pieces that can balance out and save other pieces from falling. But what exactly makes a venue perfect for your event? For corporate meetings, weddings, or charity galas, these top 10 venue must-haves will help you lock in success! 1. Location, Location, Location The first rule of real estate applies to event venues too. Choose a spot that’s easy to find, close to public transport, and has ample parking. Bonus points if it’s in a trendy neighborhood that guests will be excited to visit. BDC Pro Tip: Check out the surrounding area for restaurants, hotels, and attractions to keep your guests entertained before and after the event. 2. The Right Atmosphere Your venue sets the tone for the entire event. A rustic barn might not scream "corporate excellence," just as a sterile boardroom won’t fit a whimsical wedding. BDC Pro Tip: Consider the vibe you’re going for. Does the venue enhance your theme, or will you need to spend time and money transforming it? 3. Flexibility with Layouts A great venue offers flexibility. You should be able to arrange seating, stages, and dance floors to fit your needs. No one wants to be stuck in a venue that’s rigid about floor plans. Some venues even charge extra if you move around too much furniture, so ask ahead of time. BDC Pro Tip: Ask if the venue has movable walls, customizable lighting, and various furniture options to help bring your vision to life. 4. Tech-Savvy Amenities In today’s world, tech can make or break an event. Look for venues with strong Wi-Fi, AV equipment, and enough power outlets to keep your tech-savvy attendees happy. It’s especially nice if they have a specific contact who will be on hand to help with any last-minute questions. BDC Pro Tip: Test the Wi-Fi strength before booking—especially if you’re planning a hybrid event, live-streaming, or digital ticket check-in. 5. A Dedicated Point of Contact A venue with a dedicated event coordinator is a game-changer. They know the ins and outs of the space and can troubleshoot problems before you even realize they exist. BDC Pro Tip: Build a relationship with this person. Their insider knowledge can save you time, money, and headaches. 6. Catering Options That Wow Let’s face it—food is a highlight of any event. Your venue should either have a top-notch catering team or allow you to bring in your own caterer. BDC Pro Tip: Ask about menu customization and dietary accommodations. A gluten-free option here and a vegan dish there can make all the difference for guests. 7. Adequate Restrooms (Yes, Really!) It’s not glamorous, but restroom availability is crucial. No one wants long bathroom lines at a formal event. BDC Pro Tip: Make sure the restrooms are clean, well-stocked, and easily accessible. If the venue has attendants to maintain them during the event, even better! 8. Ample Parking (or Easy Transport Options) Guests should feel relaxed when they arrive—not stressed from circling the block for parking. If parking is limited, ensure there are clear alternatives, like ride-share drop-off zones. BDC Pro Tip: If the venue is in a busy area, consider arranging a shuttle service to make transportation seamless. 9. Accessibility for All Your venue should be welcoming to everyone, including those with disabilities. Check for ramps, elevators, and accessible restrooms. BDC Pro Tip: Don’t forget about acoustics for guests with hearing difficulties and clear signage for those who might need assistance navigating the space. 10. Backup Plans (Because Life Happens) Even the best-planned events can hit a snag. Whether it’s a sudden rainstorm or a tech failure, your venue should have contingency plans. BDC Pro Tip: Ask about indoor/outdoor options, generator backups, and on-call staff to handle unexpected hiccups. Choosing the right venue can feel overwhelming, but focusing on these must-haves will make your decision easier—and your event more successful. One of our clients is a national company that hosts 2 of their holiday parties in Colorado. This year we had the opportunity to plan the fun and support the following themes, "Jingle All The Way To The Jackpot" and a family party that was decked out in Traditional Christmas cheer! The planning process for these December events began in May - prospecting venues, vendors, budgeting, theme ideation, and all of the big details for these complex events. The casino holiday party included a band, casino rental company, caricature artist, fortune teller, dinner/bar, and AI photo booth! The family Christmas party was a great way for all Colorado families to see Santa and Mrs Claus, write letters to Santa, have their faces painted, receive gifts from Santa - and eat, drink & be merry! Thank you to all of the vendors and event team for making these events successful and for bringing joy to families across Colorado!
